Employee engagement activities, month by month
Engagement is a calendar, not an event. Twelve months of activities for a UAE company, what each one costs per person, and the months you cannot use at all.
Most UAE companies run engagement as a December problem. Somewhere around the second week of November, an HR or admin manager is asked to sort something out, and the whole year’s discretionary spend goes into one evening in the most expensive, most fully booked month in the country.
The alternative is not more events. It is four, on dates fixed in September, spread across a year that has real constraints in it.
The constraints that decide the calendar
Three things shape a UAE engagement year, and none of them is your budget.
Five months are indoors. Between May and September, outdoor physical activity is not sellable. That is a third of the year in which only air-conditioned formats, water and evening programmes work. See the May-to-September problem for what that actually does to a programme.
Three months carry all the demand. October, November and December are the UAE corporate calendar. Venues, coaches and crews sell out, and a good venue at three weeks’ notice in December is often not available at any price.
Ramadan moves. It shifts about eleven days earlier each year, so the month it lands in changes. Whatever else the calendar says, the Ramadan events are the ones with the least schedule flexibility, and the venues go first.
A twelve-month shape that holds
This is the version that survives contact with a real business year. Adjust the months, keep the sequence.

Four of those rows are events. The rest are the reasons the four sit where they do.
What each slot costs
Real per-person prices, excluding 5% VAT, at the group size stated. Prices fall as group size rises, because transport, venue and crew costs are fixed and get spread.
The big one. A structured sports and games day for the whole company runs AED 620 a person at 50–99 people, AED 480 at 100–199 and AED 400 at 200 or more, over six hours, October to April. If the company brings families instead, a family day runs AED 380 at 100–199 attendees, AED 330 at 200–399 and AED 290 above 400 — and note that the count is attendees, not employees, which roughly doubles for a company where most staff bring two.
Union Day. Three and a half hours, at your own office atrium or a hotel function room, AED 450 a person at 50–99, AED 390 at 100–199, AED 350 at 200 or more. Thirty days’ lead time, and that is a floor rather than a preference.
The recognition moment. A long-service and awards evening runs AED 390 a person at 40–79 people, AED 340 at 80–149 and AED 300 at 150 or more, three and a half hours, any month. It is the cheapest event on this list and the one people remember longest, which is a fact worth sitting with. Recognition that people believe covers how to run it so it lands.
The January reset. A wellbeing day — treatments, movement, a proper lunch, no laptops — runs AED 750 at 20–29, AED 660 at 30–49 and AED 590 at 50 or more, and can be delivered at your own premises.
The summer session. An indoor competition half-day runs AED 420 at 15–29, AED 300 at 30–59 and AED 260 at 60 or more. An indoor CSR packing session for a charity partner scales to 200 people and runs AED 290 at 30–59, AED 240 at 60–99 and AED 210 above 100, on ten days’ notice. In a summer where nothing else is possible, the CSR session is the one people talk about.
The mistake that costs the most
Running the whole year’s budget through one December evening.
At 120 people, a single year-end ceremony at AED 700 a person is AED 84,000 — one night, in the month where that money buys the least, for a company that then has nothing planned between January and the following November.
The same AED 84,000 across four events at 120 people is AED 175 a person per event, which does not sound like enough until you notice that an indoor session is AED 260 and a recognition evening is AED 300. It is not enough for four of the big ones. It is comfortably enough for one large day, one recognition evening and two indoor sessions, with the difference left over.
That is the actual trade: one memorable night, or a year with a rhythm.
When a programme is worth buying as a programme
An annual programme — four events, one contract, dates held from September and prices locked for twelve months — runs AED 1,980 per person per year at 30–59 people, AED 1,750 at 60–119 and AED 1,560 at 120 or more, and is billed at a minimum of 51 people in the lowest band.
It is not cheaper than buying four events separately. Four mid-tier packages bought one at a time comes to roughly AED 1,520 a person, so the programme costs about AED 230 more. Anyone who tells you otherwise has not done the arithmetic, or is hoping you have not.
What the AED 230 buys is held dates in October, November and December, prices locked against a rate card that moves upward through the season, one account manager who does not need re-briefing four times, and a quarterly report that answers the question HR is actually asked — what did we get for the engagement budget? A stack of four invoices does not answer that.
If you want four events and none of that, buy four events. That is a perfectly good year.
What to do in the next fortnight
- Fix the four dates before you choose the four events. Dates are the scarce resource; formats are not.
- Check them against your own busy season, your audit, your quarter close and your school terms. An event in the week of a hard deadline is an event people resent.
- Put the summer one in the calendar first. It is the one that gets dropped, and it is the one that proves the programme is not just a December habit.
- Set the per-person budget per event, not for the year. A single annual number gets consumed by whichever event is booked first.
