How to choose a team building company in Dubai

Eleven questions that separate a good corporate events supplier in Dubai from a broker with a website — and the answers you should expect to get in writing.

There are perhaps forty companies in Dubai that will sell you a team building day. They present almost identically: a client logo wall, a testimonial carousel, a form. Choosing between them from the outside is close to impossible, which is why most people choose on whoever replied first.

Here is what actually separates them, in the form of questions. We are one of these suppliers, so read this knowing that — but every question below is one you should also put to us.

The four questions that do most of the work

1. What does this cost?

Ask before the meeting, for a named format at a named group size. A supplier who cannot price a 40-person indoor games day without a discovery call is telling you one of two things: either every event is built from scratch, and you are funding that process, or they are waiting to see your budget before deciding what to charge.

Both are common in this market. Neither is in your interest.

2. Who is actually delivering this?

Most corporate event businesses in Dubai are, in whole or in part, brokers. They take your brief and pass it to the venue, the caterer and the activity operator. That is not inherently wrong — but it changes what happens when something goes wrong, because the person you have a relationship with does not control the person who has your event.

Ask directly: which of the venue, catering, transport, photography and facilitation are you contracting yourself, and which are you passing on? A straight answer is a good sign regardless of the shape of it.

3. What is your weather fallback, and when do you decide?

In the UAE this is the question that most reliably separates operators. A serious one answers with a trigger, a time, a decision-maker, a notification deadline and an alternative, without being pushed.

For example, ours for a boat event: a coast guard advisory, wind above 20 knots, or a rough-sea warning; assessed 24 hours before and again four hours before; the decision communicated no later than 14:00 on the event day; the fallback being the same vessel moored at berth with identical catering and programme at no price change, or a free reschedule within six months.

An answer of “it’s very rare” is not an answer. It is the absence of a plan.

4. What is the minimum chargeable persons?

Every price band has a floor below which the event does not cover its own delivered cost, because the coach, the venue, the crew and the catering minimum do not shrink. Suppliers know this. The question is whether they tell you before or after you have signed.

A published dhow evening at “AED 620 for 10–29 people” is billed at a minimum of 27 people in our catalog, and we print that on the page. If your supplier has no answer, they will find one later, and it will arrive as a surprise line on an invoice.

Seven more that are worth asking

5. Have you personally been to this venue? Particularly for farmhouses, desert camps and anything in the Northern Emirates, where quality varies enormously and photographs are unreliable. “Yes, in March” is different from “it’s on our list”.

6. What is not included? Ask for the exclusions list explicitly. Alcohol, gifts, printed material beyond standard branding, accommodation and VAT are the usual five. A proposal with no exclusions section is not finished.

7. Is VAT in this number? Almost never. Five per cent on AED 30,000 is AED 1,500, and it is the most common reason a finance director rejects a proposal that was verbally approved.

8. When does group size lock? Seven days out is standard and reasonable. What matters is that it is stated up front, because it is the mechanism by which you pay for 60 people when 52 attend.

9. What do we get afterwards? If a photographer is included, ask what is delivered and when. “A photographer” can mean an edited gallery within five working days or a link to 800 raw files three weeks later. Only one of those is usable for an internal newsletter.

10. What happens if we need to move the date? Ask for the reschedule terms before you need them.

11. Can I speak to a client who ran this exact format? Not a testimonial — a conversation. The answer tells you whether the format has actually been run or is being sold from a deck.

Three signals that should slow you down

A quote that arrives with no run sheet. A price without a timeline is a number, not a plan. If nobody has thought about what happens at 15:40, nobody has planned the event.

A proposal that is much cheaper than the others. Usually it is not the same event. Check transfer, catering tier, whether an on-ground coordinator is present for the whole day, and whether branding means more than one pull-up banner. Cheaper is often smaller.

Reluctance to name the venue. “A five-star hotel in Dubai” is not a venue. It becomes one at contract stage, and by then your options have narrowed.

What good looks like

A proposal you can act on contains: a per-person price with its group-size band, VAT stated separately, a timed run sheet, an itemised inclusions and exclusions list, the named venue, the contingency plan with its trigger, payment terms, and the group size lock date.

If you have that, you can compare two suppliers honestly. If you do not, you are comparing tone of voice.

A note on how we do it.
