What corporate event management actually covers

What a corporate event management company in Dubai does, the six functions the job is made of, and what the management layer is actually worth paying for.

“Corporate event management” is one of those phrases that means something precise to the people doing it and almost nothing to the person who has been asked to organise the Christmas party.

It is worth defining properly, because the gap between what a buyer thinks they are purchasing and what an agency thinks it is selling is where most bad corporate events come from.

What a corporate event is

Any organised gathering a company runs for its own people, its clients or its partners, with a business purpose behind it. In practice there are five kinds, and they are not interchangeable:

Most disappointing corporate events are a mismatch here: a recognition event designed as a party, or an offsite designed as hospitality. Settle the row you are in before anything else.

The six functions the job is made of

1. Definition. Turning “we should do something for the team” into a written objective, a group size, a month and a per-person budget. This is the highest-leverage half hour in the whole process and it is routinely skipped. If nobody can say in one sentence what should be true at the end of the day that is not true now, the event is not ready to book.

2. Design. Choosing a format that serves the objective, and sequencing it. Sequencing is the part that separates competence from a list of activities: what happens in the first fifteen minutes, where the food goes, when the difficult session sits relative to lunch, and how the day ends.

3. Contracting. Venue, transport, catering, facilitation, capture, branding. Each has its own lead time, its own deposit and its own cancellation terms, and they do not align. This is where most of the real work is.

4. Logistics. Group size, dietary requirements, accessibility, transport manifests, timings, permits, wet-weather and heat fallbacks. Unglamorous, and the reason days run late when it is done badly.

5. Delivery. Somebody on site whose only job is the event, holding the run sheet, making the call when the third session over-runs. Not the HR manager, who should be attending their own event.

6. Reporting. Attendance, feedback, spend against plan, and the photographs — delivered in a form that answers the question the sponsor will actually ask.

The day itself is roughly a fifth of that. The other four-fifths is what a management fee is for, and it is invisible if it is done well, which is precisely why it is the first thing a buyer tries to cut.

Who is who in this market

The word “company” covers four different businesses in Dubai, and knowing which one you are talking to changes what you should ask.

The venue. Sells you its own space and catering. Excellent value if the space is genuinely what you need, and structurally unable to tell you when it is not.

The DMC or activity operator. Owns or contracts the actual experience — the camp, the boat, the circuit. Deep on one thing. Usually selling you a shared product with your logo on the invitation, unless you have specifically asked for exclusive use.

The event management company. Designs and coordinates across suppliers. This is the one that adds the six functions above. It is also the one whose value is hardest to see on a quote, which is why so many of them refuse to itemise.

The broker. Has a website, a good deck and no supplier relationships. Passes the brief to whoever answers, adds a margin, and forwards the emails. Identifiable in about four minutes: ask who is delivering it and whether they have personally been to the venue. What it costs, and the comparison that misleads

In this market, coordination, design and contingency are usually inside the per-person price rather than billed separately. When they are billed separately, the management fee is typically 10 to 15 per cent of delivered cost.

Both models are legitimate. What is not legitimate is comparing one against the other, which is what happens every time a buyer puts an inclusive per-person quote next to a venue’s food-and-beverage minimum and concludes the agency is expensive.

Before you compare two numbers, establish for each one: is coordination inside it, is transport inside it, is VAT inside it, and what is the exclusions list? A proposal without an exclusions list is a starting position, not a quote.

For reference, the all-in per-person figures for common formats, excluding 5% VAT: a facilitated full day off-site runs AED 890 at 12–19 people, AED 740 at 20–39 and AED 650 at 40 or more. A ballroom ceremony runs AED 860 at 80–149, AED 700 at 150–299 and AED 620 at 300 or more. A whole-company games day runs AED 620 at 50–99, AED 480 at 100–199 and AED 400 at 200 or more. Those numbers include the management layer; a venue quoting you AED 300 for the same evening is quoting a different thing.

When you do not need any of this

Genuinely: a group of fifteen going to an indoor venue for three hours on a Thursday does not need an event management company. Book it, expense it, enjoy it.

The management layer starts earning its money at one of four thresholds, and it is worth knowing which one you have crossed:

  • Above about fifty people, where the logistics stop being a spreadsheet.
  • Multiple suppliers, where somebody has to make three contracts arrive in the same place at the same time.
  • An objective harder than enjoyment — an alignment day, a merger, a difficult decision — where the design matters more than the venue.
  • A date you cannot move, where contingency is the entire product.

If none of those applies, keep the margin. If two of them apply, the fee is the cheapest part of the event.

The one-page brief that gets comparable quotes

Send this and you will get answers you can put side by side:

  1. Objective, in one sentence.
  2. Group size, as a band, and the date it locks.
  3. Month, and whether the date is fixed.
  4. Budget per person, and whether that is inclusive of VAT.
  5. Any accessibility, dietary or cultural requirements.
  6. What you want delivered afterwards.
  7. The question: what is not included?

Seven lines. It saves a fortnight, and it will tell you more about a supplier than their portfolio does.

What is corporate event management?
It is the work of turning a business objective into a delivered event: defining what the day has to achieve, designing a programme that achieves it, contracting the venue and suppliers, running the logistics and group size, coordinating on the day, and reporting afterwards. The visible part — the day itself — is perhaps a fifth of the work. The rest is contracting, sequencing and contingency, which is what you are actually buying.

Three things. It carries supplier relationships that produce a rate a one-off booker cannot get, because a repeat client filling midweek inventory is worth more to a venue than a single enquiry. It carries contingency — a second venue, a spare vehicle, a replacement supplier — which only exists if somebody is running enough events to hold it. And it takes the coordination load off a person whose actual job is something else. If none of those three matters for your event, book it yourself and keep the margin.
How much does event management cost as a fee?
In this market it is usually not billed as a separate fee at all — coordination, design and contingency sit inside the per-person price, which is why comparing two quotes on venue and catering alone tells you nothing. When it is billed separately it is typically 10 to 15 per cent of the delivered cost. Either way, ask which model you are being quoted, because an inclusive per-person number and an exclusive one plus a management fee are not comparable figures.
